Job Summary

The position will be filled commensurate with the successful candidate's knowledge, skills, abilities, experience, and education at either the Administrative Assistant I, II or III level in accordance with business needs and priorities.

 

This position will support the DEV Training Organization.  Job duties will include supporting capital and O&M plans at DEV Training facilities, purchase order and purchase requisition entries and processing, managing catering requests across multiple DEV Training facilities, maintaining DEV Training organizational charts, coordinating office supplies, assisting with meeting logistics, assisting with the Social Committee.  The ideal candidate for this position will be passionate about working alongside a large group of people and supporting them and being present at several different DEV Training facilities in close proximity to each other in Chester, VA. Other ideal characteristics: extremely well organized, excellent written and verbal communication skills, enthusiasm and a positive team-first attitude.

 

Under general supervision, other duties as assigned may include clerical and administrative/secretarial support to multiple management level(s), and department or staff. Performs general office duties such as: answering telephone calls, making appointments and scheduling meetings, processing mail, composing correspondence, collecting, compiling and analyzing information and data, providing information on inquiries, assisting in maintenance of department files, performing data entry and maintaining and updating department informational databases. May process expense reports/invoices, provide budget tracking support, handle confidential records and information and make travel arrangements. Uses discretion in making decisions regarding planning, organizing and scheduling work. Regularly uses computer software such as word processing, spreadsheets, graphics and presentation software.

Administrative Assistant I: 

The knowledge, skills, abilities and experience required for entry into this job include the following:

  • 0-2 years of directly related experience.
  • Ability to collect, compile and analyze information and data
  • Basic understanding of operation of computerized equipment and standard office equipment
  • Basic skills in use of word processing, spreadsheet, graphics and presentation software
  • Oral and written communication skills


Administrative Assistant II: 

The knowledge, skills, abilities and experience required for entry into this job include the following:

  • 3+ years directly related experience
  • Ability to collect, compile and analyze information and data
  • Good oral and written communication skills
  • Proficient skills operating computerized and standard office equipment
  • Proficient in use of word processing, spreadsheet, graphics and presentation software Understanding of company policies and procedures
  • Some clerical/administrative experience
  • Understanding of SAP


Administrative Assistant III:

The knowledge, skills, abilities and experience required for entry into this job include the following:

  • 5+ years of extensive clerical/administrative experience
  • Ability to collect, compile and analyze information and data
  • Strong oral and written communication skills
  • High level of initiative and ability to exercise judgment and discretion
  • Strong skills operating computerized and standard office equipment
  • Excellent skills using word processing, spreadsheet, graphics and presentation software
  • In depth knowledge and understanding of company policies, practices and procedures
  • Strong planning and organizational skills
  • Proficient in use of SAP

Education Requirements

Required Degree (equivalency not accepted in lieu of required degree):

High School Graduate, GED

This job requires recommended test results from SHL Microsoft Assessment(s) administered online during the employment selection process.

Microsoft Word - This test evaluates a candidate’s ability to perform certain operations in a simulated environment of Microsoft Word, and includes the following topics: Applying Illustrations and Graphics, Applying Page Layout, Creating Content, Creating, Printing, and Saving Documents, Formatting Content, Proofreading Documents and Reviewing, Maintaining, and Securing Documents.  

Microsoft Excel - This test evaluates a candidate's ability to perform certain operations in a simulated environment of MS Excel, and includes the following topics: Applying Formulas and Functions, Creating and Analyzing Data, Formatting Cells, Data, and Content, Managing Workbooks and Worksheets, Presenting Data Visually, and Printing and Views.

Microsoft PowerPoint - This test evaluates a candidate’s ability to perform certain operations in a simulated environment of Microsoft PowerPoint, and includes the following topics: Applying Transitions and Animations, Creating, Managing, and Saving Presentations, Formatting Presentation Content, Reviewing, Collaborating, and Delivering Presentations, and Working with Multimedia Elements, Images, and Illustrations.
